Key Responsibilities:
Purpose of Position:
As the Executive Assistant, you will provide essential administrative support to the Senior Director and CSME Leadership team, ensuring their success in their roles. Your responsibilities will include managing relationships with senior stakeholders, coordinating meeting schedules, preparing documents and presentations, facilitating international travel and events, and fostering clear and compelling communications to foster a vibrant CSME team.
Day-to-day Administration:
- Proactively support essential admin duties
- Manage the busy team’s diary in a complex global environment
- Reconcile expenses and coordinate budgets
- Support wider Global Marketing and Communications activities
- Assist in recruiting and onboarding new starters
Managing International Travel and Events:
- Support leaders with travel booking and arrangements
- Organize logistics for national and international meetings and events
Meeting Management:
- Schedule regular and ad-hoc team and external meetings
- Arrange agendas, pre-reads, and presentations
- Ensure effective communication of meeting notes and actions
Knowledge Management:
- Establish a central repository for all team documents
- Build awareness and ensure easy access to the repository for the team
Culture Building:
- Foster warm and respectful communications with diverse stakeholders
- Promote a team learning culture through efficient knowledge management
- Provide relevant and interesting communications to inform and engage staff
- Facilitate team updates and celebrations to foster a connected team environment
Knowledge/Qualification for the Role:
- Minimum 3 years of experience as an Executive Assistant, working with senior stakeholders
- Highly responsive, accurate, and diligent in task execution
- Proactive and motivated with strong customer service orientation
- Comfortable managing complex schedules and priorities in a dynamic environment
- Concise communication style with the ability to facilitate decision-making
- Thrives in a virtual work environment and flexible with working hours
- Builds strong relationships with counterparts across the World Vision Partnership
- Proficient in PC and administration skills, including expense management and travel booking platforms, Microsoft Word, Excel, PowerPoint
- Language Requirements: Very fluent in written and spoken English

The Remote Executive Assistant will be responsible for providing proactive support for essential administrative duties, including managing the busy team’s diary, reconciling expenses, coordinating budgets, and supporting wider Global Marketing and Communications activities. Additionally, the assistant will assist in recruiting and onboarding new starters, ensuring a smooth transition for new team members.

This may involve liaising with travel agencies, booking flights and accommodations, and ensuring that all travel arrangements are made in accordance with World Vision’s policies and procedures.

This will involve working closely with team members to coordinate schedules and ensure that all meetings are productive and well-organized.
Knowledge Management:
The assistant will be responsible for establishing a central repository for all team documents and ensuring that it is easily accessible and widely used by the team. This will involve building awareness of the repository and maintaining it to ensure that it remains up-to-date and relevant to the team’s needs.
Culture Building:
The Remote Executive Assistant will play an important role in fostering a positive and inclusive team culture by providing warm and respectful communications to diverse stakeholders, enabling a team learning culture through efficient knowledge management, and facilitating team updates and celebrations to foster a connected and engaged team environment.
Qualifications:
The ideal candidate for this position will have a minimum of 3 years of experience as an Executive Assistant, working with senior stakeholders. They will demonstrate strong organizational skills, attention to detail, and the ability to thrive in a fast-paced and dynamic work environment. Additionally, they will have excellent communication skills, both written and verbal, and the ability to build strong relationships with counterparts across the World Vision Partnership. Proficiency in PC and administration skills, including expense management systems, travel booking platforms, Microsoft Word, Excel, and PowerPoint, is essential. Fluency in written and spoken English is required.
