Background & Job Description
UNESCO is seeking an Executive Assistant (DBS) to provide high-level administrative support to the Chief Information and Technology Officer (CITO) and the management team of the Bureau for Digital Business Solutions (DBS) in Paris. This role involves managing schedules, coordinating meetings, handling correspondence, and ensuring smooth office operations.
The position is open only to candidates with the right to work in France and requires strong organizational, communication, and IT skills.

Tasks
- Administrative Support: Manage the CITO’s calendar, schedule appointments, organize meetings, and handle correspondence.
- Information Flow: Ensure smooth communication between the Director and internal teams.
- Document Management: Process and review correspondence, draft high-level documents in English and French, and maintain filing systems.
- HR Assistance: Support HR transactions, maintain staff records, and track organizational changes.
- Technical & Logistical Support: Prepare reports, reformat documents, collect data, and enter information into central systems.

Qualifications
Education and Certification
- Completed secondary, technical, and/or vocational education.
- Preferred: A university degree or certification in administration/secretarial work.
Experience
- Minimum 8 years of experience in administrative, secretarial, or office coordination roles.
- Preferred: Experience in an IT/digital environment or within the UN System or an international organization.
Skills & Competencies
- Bilingual proficiency in English and French (written and spoken).
- Strong organizational and coordination skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.).
- Ability to work under pressure, handle sensitive issues, and maintain confidentiality.
- Preferred: Knowledge of additional UNESCO official languages (Arabic, Chinese, Russian, Spanish).
Additional Information
- Location: Paris, France
- Contract Type: Fixed-term, 2 years (renewable)
- Salary: Approx. €48,526 annually, plus benefits (medical insurance, pension plan, family allowances, etc.).
