Responsibilities

Reporting to the Human Resources Officer, the Human Resources Assistant will be responsible for the following duties:

Recruitment and Placement
  • Assist in processing vacancy announcements.
  • Participate in the selection of candidates for secretarial, clerical, and related positions, including evaluating and screening applications, preparing candidate profiles, conducting preliminary interviews, and conducting roster searches.
  • Assist in filling posts across all categories, including initiating and following-up on reference checks, academic verifications, and pre-recruitment formalities.
  • Calculate salaries and related benefits, prepare and dispatch offers of appointment and Statement of Emoluments.
  • Maintain vacancy announcement files and track the status of announcements.
  • Assist in recruiting consultants and individual contractors.
Local Outreach Initiatives
  • Support local outreach initiatives to attract potential talent through university career fairs, online webinars, and social media platforms like LinkedIn.
  • Assist in local head-hunting initiatives to attract talent for advertised vacancies.
Roster Management
  • Assist in building and maintaining rosters for pre-qualified candidates across critical job families to facilitate surge or urgent recruitments.
General HR Support
  • Maintain HR-related automated systems and applications, including databases containing HR statistics, and prepare periodic reports.
  • Conduct research on a range of HR-related issues and assist in the preparation of notes and reports.
  • Provide general office support services, including processing correspondence, setting up and maintaining files, scheduling appointments, and monitoring deadlines.
  • Prepare written responses to queries related to HR matters.
  • Train and provide supervision to new and lower-level staff.
  • Assist in organizing and conducting training courses and workshops.
  • Support data collection, analysis, and preparation of data presentations and reports.

  • Client Orientation: Establishes and maintains productive partnerships with clients. Identifies clients’ needs and matches them with appropriate solutions. Monitors ongoing developments to anticipate problems and keeps clients informed of progress.

Education and Experience

  • Education: Completion of a high school diploma or equivalent is required. Supplemental training in human resources, administration, or related areas is desirable.
  • Experience: A minimum of five years of progressive work experience in human resources, administration, or related fields is required, with at least one year in recruitment. Candidates with a first-level university degree can qualify with a minimum of three years of relevant experience. Experience in recruitment tools like PeopleSoft or Inspira is desirable. Experience in using Enterprise Resource Planning (ERP) systems such as SAP is an advantage. Experience in data analytics or related areas is desirable.
  • Languages: Fluency in English (written and spoken) is required. Knowledge of another official UN language is desirable.

  • Contract Duration: Initial appointment is for one year, subject to extension based on funding availability.
