Background & Job Description

The United Nations Environment Programme (UNEP) is the leading global environmental authority that shapes the international agenda on environmental issues and ensures the effective implementation of sustainable development policies. The Convention on the Conservation of Migratory Species of Wild Animals (CMS) is a key intergovernmental treaty under UNEP, focused on the conservation and sustainable use of migratory species and their habitats.

This part-time Programme Management Assistant role, based in Bonn, Germany, supports the CMS Secretariat and related agreements, including AEWA (African-Eurasian Migratory Waterbirds), EUROBATS (European Populations of Bats), and ASCOBANS (Small Cetaceans of the Baltic, North East Atlantic, Irish, and North Seas). The position plays a vital role in project coordination, administrative support, and meeting organization. The selected candidate will work closely with the Legal Officer and Head of Conference Services and will report to the Executive Secretary.


Key Responsibilities

Project & Programme Coordination

  • Assist in project planning and preparation, monitoring the status of project proposals.
  • Manage partner information, process agreements, and conduct due diligence in the Partnership Portal.
  • Review budgets and project documents for compliance and consistency before final approvals.
  • Coordinate administrative actions, including recruitment, travel, payments, and procurement.
  • Compile and analyze project data, flagging budget discrepancies and other delivery challenges.

Meeting & Conference Support

  • Organize meetings, workshops, and travel logistics for CMS Secretariat projects.
  • Act as the focal point for admin coordination of meetings involving liaison with multiple units.
  • Manage the meeting webpage, registrations, and participant lists.
  • Ensure translation and document formatting align with UN standards.
  • Provide on-site support during conferences, including assistance to staff and participants.

Secretariat Administrative Support

  • Handle correspondence, emails, and document distribution.
  • Draft official meeting invitations, reports, and briefing notes.
  • Maintain project databases and contact records.
  • Prepare presentations, brochures, and web content.
  • Respond to inquiries and provide guidance to new staff members.

Required Qualifications

Education & Certification

  • High school diploma or equivalent (required).
  • Additional administrative training or certification is desirable.

Experience

  • Minimum 5 years of experience in programme/project administration, meeting organization, or related fields.
    • (3 years for candidates with a first-level university degree or higher).
  • At least 2 years of experience in a multilateral environmental agreement secretariat (preferred).
  • Experience working with UMOJA or similar ERP systems (desirable).
  • 1+ year of experience in data analytics or related field (preferred).

Skills & Competencies

  • Project coordination & administration: Ability to oversee projects, maintain records, and ensure compliance.
  • Meeting & event organization: Experience handling travel logistics, scheduling, and event planning.
  • Communication & document preparation: Strong written and verbal communication skills.
  • Technical skills: Proficiency in data analysis, MS Office, ERP systems, and digital collaboration tools.
  • Multilingual abilities: Fluency in English (required); knowledge of French, Spanish, or another UN language is an asset.
