This particular job opportunity represents two distinct 24-month roles within the organization’s Global Health Division, offering candidates a chance to contribute significantly to two of the team’s vital areas:

  1. The Enterics, Diagnostics, Genomics, & Epidemiology (EDGE) Team: This team focuses on reducing childhood deaths from diarrheal disease, eliminating typhoid as a public health threat, and advancing diagnostics for infectious diseases. They also work on optimizing pathogen surveillance in low- and middle-income countries (LMICs).
  2. The Malaria Team: The Malaria team’s mission is to reduce the global burden of malaria and work toward its eventual eradication. They support malaria-focused innovations, strategic partnerships, and evidence-based policies aimed at strengthening health systems, improving surveillance, and accelerating vaccine development.

Depending on the candidate’s qualifications, experience, and areas of expertise, applicants may be considered for one of these two teams.

In this capacity, the Program Assistant (LTE, 24 months) will play an essential role in supporting the team’s administrative and organizational needs. This position, based in Seattle, WA, will require a high level of efficiency, attention to detail, and proactive problem-solving to help ensure smooth operations across all team functions.

Tasks

The Program Assistant will support key team members, including Deputy Directors and Senior Program Officers, across both the EDGE and Malaria teams. This role will involve delivering comprehensive administrative and organizational support to program and operations leaders and contributing to the efficiency and productivity of the teams as a whole.

Key responsibilities include:

  1. Scheduling & Calendar Management:
    The Program Assistant will be responsible for managing complex schedules across multiple time zones. This involves coordinating a high volume of meetings, appointments, and events for several individuals within the teams.
  2. Travel Coordination:
    Making travel arrangements for both domestic and international trips will be another significant part of the job. The assistant will be responsible for booking flights, accommodations, and managing travel logistics to ensure smooth travel experiences for the team members.
  3. Event Planning & Coordination:
    Assisting with the organization of meetings, conferences, and presentations is a critical aspect of the role. The Program Assistant will collaborate with other teams, such as the Events and Audiovisual teams, to coordinate logistics, including preparing materials, managing participant lists, and setting up virtual events.
  4. Communication & Correspondence:
    The assistant will manage email and phone communication, ensuring timely responses to inquiries, synthesizing information to provide recommendations, and making decisions. Clear and consistent communication with internal and external stakeholders is essential.
  5. Administrative Support & Documentation:
    The Program Assistant will be responsible for maintaining organized files and records, preparing expense reports, processing reimbursements, and performing general office duties, such as creating documents and managing materials.
  6. Task Management:
    Maintaining systems for tracking and prioritizing tasks and projects will be crucial in supporting both the EDGE and Malaria teams.
  7. Team Culture & Events:
    The Program Assistant will also contribute to the team culture by helping plan team-building activities and celebrations, ensuring a positive and engaging work environment for all team members.

Qualifications

Education & Certification

  • A Bachelor’s degree or equivalent experience in a related field is required.
  • Certification in administrative management or a related discipline is a plus, though not mandatory.

Experience

  • At least 3+ years of administrative experience in a fast-paced, complex organizational setting is essential.
  • Proven track record of managing complex calendars, coordinating travel logistics, and planning events with precision.
  • The candidate should possess strong experience working with Microsoft Office Suite, including Outlook, PowerPoint, Word, Excel, and Teams. Familiarity with SharePoint is a plus.
  • Communication skills are paramount. The Program Assistant must possess excellent oral and written communication skills to engage effectively with team members and external contacts.
  • Demonstrated ability to manage multiple priorities while balancing the needs of various team members.
  • Experience working in a nonprofit or global health setting is desirable but not required.
  • Cultural awareness and sensitivity to diverse working environments and populations is a must, as this role involves interaction with international stakeholders.
