Dimensions of the Role
The Sponsorship Assistant ensures the timely availability of high-quality translated communications in the office. The role includes managing communication such as DMIX, DWGCs, WGCs, DSPCs, SPCs, DFWL, SCRs, SGRs, and OCCs. The post holder will ensure zero inappropriate letters are sent to National Offices (NOs) and sponsored families, verifying and reporting any inappropriate content identified during letter translation to the Sponsorship Coordinator. Additionally, the role involves ensuring timely delivery of outgoing letters to sponsors and incoming ones to sponsored families and maintaining proper filing of all monthly processed communications.
Key Responsibilities:
- Translation and Verification: Ensure accurate and timely translation of communications, maintaining the quality and appropriateness of content.
- Communication Management: Ensure proper handling and delivery of letters and other communications between sponsors and sponsored families.
- Filing and Documentation: Maintain organized and timely filing of all communications, ensuring compliance with sponsorship guidelines and policies.
- Collaboration: Work closely with the Sponsorship Coordinator and other team members to enhance communication processes.
Technical Expertise, Skills, and Knowledge:
Qualifications/Experience:
- Minimum level of A2 in any field.
- Excellent proficiency in English and Kinyarwanda.
- Proven experience in translations.
- Strong communication and interpersonal skills.
- Excellent analytical and writing skills.
- Effective planning and time management skills.
- Basic knowledge of filing systems.
- Ability to work under pressure, within a team, and work extra hours if required.
- Good understanding of child rights, protection, and safeguarding.
- Adaptable, organized, and proactive with minimal supervision.
- Proficiency in Microsoft Office applications.
