This is a remote, full-time position requiring a schedule in line with East Coast hours. Tasks include invoice handling, travel and event coordination, and varied administrative duties.

Objective:
To furnish comprehensive administrative support to the RTD at PETA.

Key Duties and Responsibilities:

  • Assist the RTD team in daily tasks such as travel arrangements, expense report processing, and invoice settlement.
  • Handle departmental projects using online tools like Office 365 Planner, OneNote, Excel, Smartsheets, and billing and credit card software.
  • Update and maintain the department’s handbook and standard operating procedures (SOPs).
  • Oversee the department’s SharePoint file system.
  • Arrange, host, and record meetings and webinars using Microsoft Teams and GoToWebinar.
  • Draft agendas, take minutes, and ensure follow-through on action points from departmental meetings.
  • Help in organizing events like scientific workshops and departmental retreats.
  • Schedule both internal and external meetings using Microsoft Outlook.
  • Arrange interviews for job applicants and help induct new team members.
  • Manage the managing director’s calendar and track staff schedules.
  • Act as a liaison between the department and other PETA departments and the PETA Foundation. Submit requests to these departments on behalf of RTD staff.
  • Ensure links on PETA RTD and PETA Science Consortium International websites are functional.
  • Conduct online research to assist RTD staff, including finding journal articles and contact information.
  • Undertake any other duties as assigned by the supervisor.

Requirements:

  • At least one year of experience in a remote administrative role.
  • Ability and willingness to work East Coast hours.
  • Having East Coast access is a bonus! We welcome occasional meeting attendance.
  • Proficiency in Microsoft Office suite (especially Word, PowerPoint, Excel, Planner, Teams, and Outlook), Adobe Acrobat X Pro, SharePoint, and Doodle Polls.
  • Aptitude for learning new software applications and applying newfound skills to assignments.
  • Excellent organizational skills and attention to detail.
  • Effective written and verbal communication skills.
  • Proven ability to prioritize and meet deadlines.
  • Excellent interpersonal skills, tact, and diplomacy.
  • Commitment to maintaining strict confidentiality.

The hourly wage for this position ranges between $15.00 and $19.06. The final hourly rate offered to a suitable candidate will be based on the candidate’s experience and the cost of living in their residential area.
