Overview of the Functions of the Post

The Programme Assistant position is situated within the finance and administrative unit of the UNESCO Office for the Caribbean, UNESCO Kingston office. Under the overall delegated authority of the Director of the Office and the direct supervision of the Finance and Administrative Officer, the Programme Assistant plays a crucial role in supporting the organization and delivery of programme activities/projects. This entails undertaking various office support and administrative functions as part of a collaborative team effort.

Key Responsibilities

The Programme Assistant’s responsibilities include:

  • Assisting programme specialists, administration, and direction in organizing meetings, events, and workshops by coordinating logistical arrangements.
  • Reviewing, assembling, and organizing documents and information for meetings and events, ensuring accuracy and completeness.
  • Initiating procedures for necessary services required for events, including procurement of goods and services.
  • Managing travel arrangements, including travel plans, requests, security clearance, and travel claims for office personnel.
  • Facilitating the orientation of visiting officials by providing necessary information and documentation.
  • Reviewing requests for payments against contractual obligations and preparing payment files for goods and services.
  • Drafting routine internal and external correspondences and responding to inquiries.
  • Running reports from automated systems to assist in budgetary/financial updates and reports preparation.
  • Recording, updating, and retrieving information and data from office filing systems.
  • Undertaking additional activities to ensure the success of the work team.

Required Qualifications

Education: Completed secondary, technical, and/or vocational school education. Work Experience: At least three (3) years of relevant work experience in administration, project assistance, office administration, or related fields. Skills and Competencies: Good communication and interpersonal skills, ability to work efficiently as part of a team, proficiency in MS Office (Word, Excel, Outlook, PowerPoint). Languages: Excellent knowledge (oral and written) of English.

Desirable Qualifications

Work Experience: Relevant experience in similar functions within the UN system or any international organization/institution. Skills and Competencies: Strong organizational and coordination skills, ability to take initiatives, establish priorities, and monitor work plans. Languages: Knowledge of another official language of UNESCO (Arabic, Chinese, French, Russian, or Spanish).

UNESCO offers a comprehensive benefits package, including 30 days of annual leave, family allowance, medical insurance, pension plan, etc. The approximate annual starting salary for this post is 2,072,610 Jamaican dollars (JMD).
