Key Responsibilities
- Administrative Support (50%)
- Welcome visitors and provide information and guidance as needed.
- Manage office communications, including emails, letters, and faxes.
- Type and prepare various documents, including circulars, memos, and reports.
- Translate correspondence between English and Amharic as required.
- Coordinate office repairs, maintenance, and supply orders.
- Operate the telephone switchboard and handle incoming calls.
- Travel and Events Booking (10%)
- Support FO team members with travel and event arrangements.
- Communicate schedules and provide necessary information to facilitate transport and accommodation requests.
- Manage internal meeting room bookings and external event arrangements.
- Provide feedback on service quality and efficiency.
- Management of Documents (20%)
- Receive and dispatch incoming and outgoing mail.
- Establish and maintain a filing/documentation system for all office documents.
- Sort, register, and file documents, letters, and other correspondences.
- Keep custody of contract agreements and sensitive organizational documents.
- Photocopying, Binding, and Scanning (25%)
- Fulfill photocopy and scanning requests as needed.
- Compile reports and documents, binding them when required.
- Ensure the availability of stationary and operational photocopying equipment.
- Other Duties (5%)
- Carry out additional duties as required to support project needs.
Qualifications and Skills
- Diploma or first-degree holder with relevant work experience.
- Minimum of 6 months CARE internship service.
- Previous experience in an NGO setting is an advantage.
- Strong organizational, communication, and interpersonal skills.
- Proficiency in English and Amharic (written and spoken).
- Ability to work effectively in a multicultural team environment.
